Why we collect this information
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
- to be able to respond to your contact
- to provide services tailored to your needs
- provide you with information about goods or services we feel may interest you
- If you are an existing customer we will contact you by email regarding goods and services similar to those which were the subject of a previous sale by you
- If you are a new customer, we are Premier Cottages will contact you by electronic means if you have consented to this by clicking the relevant ‘submit’ button on the form our website where you enter your information. If you do not want us to use your data in this way, or to pass your details on to Premier Cottages for marketing purposes, please do not tick the relevant box situated on the form on which we collect your data (which include the online booking form where we have one on our site, and our contact and registration forms)
How long we keep this information
We retain this information until we have responded to your contact, and for internal record keeping for a period depending on your relationship with us and what we consider to be reasonable:
- If you have stayed with us, we keep your records for up to 26 years after your last stay. This is because we often have guests returning for wedding anniversaries, including their 25th, with no intermediary visits. Guests in this situation often want to know the details of their original stay.
- If you have only enquired with us, or had other communication but have not stayed, we will keep your data for no longer than 3 years. Beyond this period with think it unlikely for you to book if you have not done so already, hence we consider this to be a reasonable period.
Security
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable procedures to safeguard and secure the information we collect online.
Disclosure of your information
We are a member of Premier Cottages, a professional collective of independent luxury cottage owners. Premier Cottages promotes properties on our behalf as well as other luxury cottages. As members of Premier Cottages we would like to give them your information so that they can contact you about other quality properties that you might like, where you hvae indicated to us that you are happy for us to do so. You may unsubscribe from this service at any time.
We use third party processors and as such may share your information with them. The processing of this information will be in line with the third parties privacy policy. The third party processors we use are as follows:
- Mail Chimp
- Supercontrol
- Sagepay
Controlling your personal information
You may choose to restrict the collection or use of your personal information in the following ways:
- if you have previously supplied personal data
- if you have previously agreed to us processing your personal information
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law.
If you have a complaint you can contact the Information Commissioner's Office (ICO) which is the data privacy supervisory authority in the UK.

- Right of access – if you want to know if we are storing or processing any personal data about you, you can contact us to find out.

There is no charge for making a request or for the electronic data file, but if the number and frequency of requests is unreasonable we may charge an admin fee. - Right to correction - if you believe that any information we are holding on you is incorrect or incomplete, please contact us as soon as possible. We will promptly correct any information found to be incorrect.
- Right to erasure – if you want to remove your personal data from our records, you can request this by contacting us. We will remove the data as far as it is practically within our power, and where we are not legally obliged to retain it.
- Right to object – if you no longer want us to process your data you can request this by contacting us.
- Right to complain - if you are unhappy with how we are managing your personal data, you can lodge a complaint with the UK supervisory authority, the Information Commissioner's Office (ICO).
Where we store your personal data
All information you provide to us is stored on our secure servers or on secure servers operated by a third party.

Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk.
